Late to School/Return to School after appointment during school hours

If a student arrives at school late (after 9.00am), they must first come to the Office, preferably with their parent/guardian. Office staff will sign the student in on Compass and issue a yellow pass that is to be given to the class teacher. Provide an explanation to the Office staff so the correct absence category can be allocated in Compass (if this has not already been done earlier by the parent/guardian).

 

Student Absent due to Illness

Before school commences (ie before 8.50am) record the student's absence on Compass as follows:

  1. Log in to Compass.
  2. Select 'Add Attendance Note/Approval/Approved Absence/Late' link on the Compass home screen.
    (a) From the pop-up window:
         i.    Select the reason from the drop down list - 'Illness/Medical' 
         ii.   Enter a brief description if appropriate.
         iii.   Select the start and finish time:
                   START - date of absence, select period "AM" (this automatically inserts 8.50am, the start of the school day)
                   FINISH - date of absence, select period "PM" (this automatically inserts 3.30pm, the end of the school day).
         iv.   Click the green Save button (bottom right hand corner).
  3. Optional, but recommended - back at the Compass home screen:
    (a)  Select 'Send Email to Teachers' link
    (b)  Write a brief email advising the student's absence due to ill health.


Ensuring the the absence is explained on Compass before 8.50am will ensure that when the teacher marks the roll at the beginning of the day, they will see the reason for the student's absence and mark the roll accordingly. If the absence is not recorded on Compass before the roll is marked, then an "Unexplained absence" will be recorded on Compass that will remain until the parent/guardian explains the absence by allocating the correct absence code in Compass.


Early Departure from School

If a student has to leave school during the school day prior to the end of the school day (3.30pm), eg medical appointment. 

Before Arrival at School:  Parent/guardian should record the students departure from school before arriving to pick them up as follows:

  1. Log in to Compass.
  2. Select 'Add Attendance Note/Approval/Approved Absence/Late' link on the Compass home screen.
    (a) From the pop-up window:
        i.    Select the reason from the categories in the drop down menu.
         ii.   Enter a brief description of the absence. When the student is leaving with an adult other than their parent/guardian, their name should be included in the description. The relationship to the student (eg Grandfather) is also recommended. On a day such as Grandparents & Special Friends Day where a student is leaving early with their grandparent/special friend, the description should read "Early departure with John & Jane Smith, Grandparents."
         iii.   Select the start and finish time:
                   START - date of departure 29/3/18, enter time eg 1pm/1.30pm/2pm
                   FINISH - date of departure 29/3/18, select period "PM", automatically enters school finish time.
         iv.   Click the green Save button (bottom right hand corner).
  3. Optional, but recommended - back at the Compass home screen:
    (a)  Select 'Send Email to Teachers' link
    (b)  Write a brief email about the early departure, including the expected departure time. If the student is leaving with someone other than the adult who normally collects them from school, then please include this person's name and relationship to the student in the email, eg "Amy Smith will leave school at 11am with her Grandma, Anne Smith, for a dental appointment. I do not expect that she will return to school after the appointment.".

On Arrival at School:  The parent/guardian comes first to the Office. Office staff will sign the student out on Compass and a green pass will be issued; the green pass is to be given to the class teacher. If you have not already entered the absence approval (as described above), provide an explanation to the Office staff so the reason for the departure can be recorded in Compass. The parent/guardian can then go to the class to collect the student and leave the school.

 

Family Holiday during School Term

Before leaving on a family holiday ensure that a student's absence is recorded in Compass, as follows:

  1. Log in to Compass.
  2. Select 'Add Attendance Note/Approval/Approved Absence/Late' link on the Compass home screen.
    (a) From the pop-up window:
         i.    Select the reason 'Family Holiday' from the drop down menu.
         ii.   Enter a brief description of the absence, if applicable eg "Holiday in China to visit family."
         iii.   Select the start and finish time:
                   START - select first date of holiday by clicking on calendar icon and selecting the date, select period "AM", automatically enters school start time (if a school day).
                   FINISH - select last date of holiday by clicking on calendar icon and selecting the date, select period "PM", automatically enters school finish time (if a school day).
         iv.   Click the green Save button (bottom right hand corner).
  3. Optional, but recommended - back at the Compass home screen:
    (a)  Select 'Send Email to Teachers' link
    (b)  Write a brief email advising that the student will be on a family holiday, eg "Amy Smith will be on a family holiday to China to visit family".

 

Student Reports

Student reports for semesters 1 and 2 each year are accessible from each student's profile on the Compass home screen (View Academic Reports link). It is important that you save a copy of each report to an external location, as a student's profile is removed when they leave EHPS and the online link to reports will therefore be unavailable. Copies of reports are often required for admission to secondary school, so it is important to have access to the report for the future.
